1. Information we collect
Miranda Insights collects information that you provide directly through the website and Client Portal, including:
- Account registration details such as first name, last name, username, email address, phone number, industry type, and organization information
- Contact form submissions, including your name, organization, email address, phone number, business location, selected subject, and message content
- Newsletter subscription details, primarily your email address
- Client Portal content such as project messages, protected attachments, attachment links, project profile details, and settings preferences
- Two-factor authentication status and setup information if you choose to enable optional 2FA
- SurveyHQ responses and related survey information as described below
2. Information collected automatically
The platform uses technical information needed to operate and protect its services. This may include IP address information used for security verification and rate limiting, session information required for authentication and SurveyHQ participant access, and browser interactions related to site functionality.
SurveyHQ response records do not store participant account identity, detailed user-agent, device, or operating-system information, or device fingerprints. They retain only a coarse source classification of browser or webview. IP addresses may be processed temporarily to protect the participant entry workflow, but they are not stored on SurveyHQ response records.
The site includes progressive web app behavior and may store limited browser-side information, such as whether an install prompt has been dismissed, in local browser storage.
3. How we use personal information
Miranda Insights uses collected information to:
- Create and manage user accounts
- Provide access to the Client Portal and related project tools
- Respond to contact requests and coordinate Discovery Sessions
- Send service-related emails, project notifications, and account recovery communications
- Send Miranda Insights updates if you choose to subscribe
- Maintain project records, message history, and shared project visibility for active client work
- Collect authorized SurveyHQ responses and prepare survey analytics, exports, and retained reports
- Support account and form security, including optional two-factor authentication and verification tools
- Operate, troubleshoot, and improve the website and its authenticated services
4. Contact and scheduling communications
If you submit a support or contact form, Miranda Insights uses the information you provide to review the request, respond to you, and send a confirmation email. Replies may be sent through configured email infrastructure.
Discovery Session scheduling is provided through an external Notion scheduling service. Information entered through that service is processed under the provider’s terms and privacy practices and may be made available to Miranda Insights for scheduling and related coordination. The Client Portal does not itself store or manage those scheduling submissions.
5. Newsletter communications
If you subscribe to the newsletter, Miranda Insights stores your email address so practical insights and Miranda Insights updates can be sent to you. You can unsubscribe using the option included with those communications or by contacting Miranda Insights.
6. Client Portal records, messages, and attachments
For active clients, the Client Portal may display a Shared Record containing Project Notes & Updates, progress-related information, project messages, and files or links submitted through the messaging workflow. This information supports project communication, visibility, and coordination. Message attachments are protected and subject to the platform’s applicable storage and retention behavior.
7. SurveyHQ participation and responses
SurveyHQ allows participants to submit survey responses without creating or signing into a Miranda Insights account. It collects submitted answers and selections, submission timestamps, the applicable published survey-definition metadata, and the coarse source classification described above.
SurveyHQ does not automatically attach a participant account identity to a response. However, a survey may ask for identifying information, and participants may provide identifying information in text or other answers. A response therefore should not be assumed to be anonymous in every survey.
Survey responses and authorized reports may be reviewed by approved Miranda Insights staff and made available to the client or organization sponsoring the survey, consistent with the survey purpose and applicable engagement.
8. Security and fraud prevention tools
The site uses Cloudflare Turnstile on certain forms to help reduce spam and abusive submissions. When those forms are used, related technical information may be processed as part of that verification workflow.
The Client Portal also supports optional two-factor authentication. If enabled, associated 2FA information is used for account protection and login verification.
9. Cookies, sessions, and browser storage
The platform uses standard session and security mechanisms needed for authentication, CSRF protection, SurveyHQ participant grants, and account-based functionality. The site may also use local browser storage for limited front-end behavior, such as dismissing the PWA install prompt for a period of time.
These technologies are used to operate the platform rather than to advertise to you across third-party websites.
10. How we share information
Miranda Insights is not a public data marketplace or ad-supported platform. Information may be shared only as reasonably necessary to operate the site and provide authorized services, including with:
- Email delivery infrastructure used for support, account, newsletter, or project notifications
- The external scheduling provider used for Discovery Session workflows
- Security and verification providers, including the Turnstile verification workflow
- Service providers helping host, store, or support the website, Client Portal, and SurveyHQ
- The client or organization sponsoring a SurveyHQ survey, for authorized responses, analytics, exports, or reports
- Authorities or other parties where disclosure is required by law or reasonably necessary to protect rights, security, or platform operation
11. Data retention
Miranda Insights retains information for as long as reasonably needed to operate accounts, maintain project records, provide services, meet legal obligations, or resolve disputes.
Authoritative SurveyHQ records—including published survey definitions, submitted responses and answers, relevant audit records, and official retained report artifacts—are protected for at least five years after the survey closes. Ad-hoc exports do not necessarily become retained artifacts.
The platform includes scheduled account deletion with a recovery window. When deletion is completed, related account and associated Client Portal data are handled according to the application’s deletion workflow. Newsletter subscription records are retained until you unsubscribe or the record is otherwise removed.
12. Your choices and access
You may update certain account and organization information through the Client Portal. You may also unsubscribe from newsletters, request support, or request account deletion using the tools currently available on the site.
If you need help updating or removing information that is not directly editable through the portal, contact Miranda Insights through the website support channel.
13. Security practices
Miranda Insights uses reasonable administrative and technical measures to support account and platform security, including authentication controls, optional two-factor authentication, protected SurveyHQ access, and form verification tools. No internet-based system can be guaranteed completely secure, so users should also protect their credentials and submitted materials.
14. Children’s privacy
The public website and Client Portal are not intended to be used independently by children. When SurveyHQ is used with students or other minors, participation must occur with the authorization or consent required by applicable law and arranged by the sponsoring organization and/or the participant’s parent or guardian.
15. Changes to this policy
Miranda Insights may update this Privacy Policy over time to reflect operational, legal, or platform changes. Updates will be posted on this page with a revised date.
